General Summary

This candidate will be assisting in all aspects of the Garrett Mechanical Service and Small Projects Department. Administrative Assistant duties and responsibilities include providing support to office personnel and field employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

Principal Duties and Responsibilities include the following. Other duties will likely be assigned.

  • Answering Multi-line Phone System
  • Issuance of Purchase Orders and Subcontract Numbers
  • Issuance of Job/ Service Order Numbers
  • Billing
  • Payroll Entry/ Verification
  • Order office supplies
  • Project Submittals
  • Project Operation Manuals
  • Copy/Scan drawings
  • Assist in the preparation of regularly scheduled reports
  • Additional Clerical Duties as needed


  • Construction administration experience a plus
  • Proficient in MS Word, MS Excel and Windows Platforms
  • Excellent organizational and multi tasking skills
  • Ability to work well with others


  • 5-10 years of experience
