Primary Responsibilities:

  • Support business leaders in scheduling, coordinating, and managing meetings: 
    • Create / maintain calendars / coordinate meetings avoiding scheduling conflicts
    • Schedule, coordinate, and/or set up resources and technology (e.g., conference rooms; food; WebEx; Telepresence) needed for meetings / events (e.g., training)
    • Host, coordinate, and/or facilitate meetings / external events as needed (e.g., introduce speakers; manage PowerPoint deck; ensure time schedules are adhered to; assist with technology; take notes)
    • Organize meeting logistics to ensure meeting participants (e.g., external customers; executives) have appropriate access to facilities and systems (e.g., issue security badges; request building access; internet access)
  • Support business leaders with travel and expense management:
    • Make travel arrangements (e.g., airline; hotel; ground transportation, office space assignment) 
    • Enters travel expenses into the concur system 
    • Submits purchase orders and vendor invoices into relevant systems (e.g., AARIBA) to 
  • Facilitates and oversee office operations:  
    • Collaboration with facilities directors, security, IT, and other partners to ensure office locations are efficiently and effectively operating for in-office staff
    • Coordinates and maintains department records (e.g., organization charts, office space seating, distribution lists)  
    • Keeps inventory of office supplies and place orders for replenishment as needed 
    • May occasionally performs general clerical duties (e.g., photocopying, faxing, mail distribution and filing)
    • Oversees internal office communications (e.g., department calendar, new hire announcements, facility issues) for internal team members to take appropriate action as needed
    • Participates on the emergency response team
  • Functions independently as the Business Segment Liaison for all department staff:
    • Assisting with new hire onboarding
    • Ensures employees / contractors receive access and guidance with office operations 
    • Support in-office and telecommute staff with new technology needs
    • Submits technology purchase orders and accepts deliveries
  • Establish and manage relationships with both internal and external office partners
    • Greet and direct internal and or external partners to appropriate locations 
    • Provide coverage for internal team members as needed

Required Qualifications:

  • HS Diploma or GED 
  • 3+ years of administrative support (or equivalent) supporting a multi-disciplinary team of 50 or more employees, both office-based and telecommute roles
  • Experience supporting multiple business leaders, VP level or higher Experience managing multiple priorities with attention to detail
  • Background as a Business Segment Liaison or similar type experience
  • Intermediate to advanced level of proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook

Preferred Qualifications:

  • Associates or bachelor’s degree 
  • 5+ years administrative support (or equivalent) supporting a multi-disciplinary team of 50 or more employees, both office-based and telecommute roles
  • Experience working within the marketing industry
  • Demonstrated ability to be proactive working in a fast-paced cross-functional environment
  • Demonstrated attention to detail and excellent organizational skills
  • Proven ability to multi-task in a fast moving and deadline driven environment
  • Demonstrated ability to maintain professionalism and a positive service attitude
