This is an administrative support role designed to work with our Field Experience coordinators by compiling, reviewing and entering data.

Some background experience in data analysis/entry is desired.

The ideal candidate for this role will demonstrate strong competencies in report management, application review, and document review

Field Experience Specialists also act as a liaison between coordinators and students and therefore must be comfortable working as part of a team and have strong written and verbal communication skills.

They will possess strong organizational and time management skills, be able to multitask and be adaptable to change.

Essential Functions and Responsibilities - {list of significant responsibilities and essential duties that must be completed in order to achieve the objectives of the position}

  • Maintains and administers the Student Relationship Management software system (SRM), SharePoint, Google Sites, and Qualtrics Projects.
  • Conducts data checks and scrubs and assists with finding/researching problem matters.
  • Triages email correspondence to the department.
  • Produces, distributes, and assists with analysis of statistical reports and dashboards to management of the department to monitor production as directed.
  • Provides support and creates reports for projects regarding data collection and accreditation.
  • Handles mass email processes for correspondence of training and communications for students, clinical supervisors, and host teachers.
  • Conducts and tracks collection of degree verification documentation for clinical supervisors and host teachers as needed.
  • Processes and maintains the clinical supervisor identification card system, host teacher professional development certificates, department templates, and geocoding of clinical supervisors.
  • Corresponds via phone and email with cohort facilitators, mentors, students, host teachers and clinical supervisor
  • Adheres to Quality Assurance standards for the Field Experience Department.
  • Assists with general organization of critical student, clinical supervisor, and host teacher data.
  • Assists with the historical record for the Field Experiences Teams in our electronic warehouse.
  • Examines existing and proposed processes and proposes process improvements.
  • Completes duties and tasks as assigned by the supervisor.

Required Education and Experience - {minimum education and/or prior experience qualifications, required certifications, etc.}

  • High School Diploma and three years’ experience in a customer service related field.
  • Three years’ experience working with database systems and all Microsoft products.
  • 40 WPM typing skills

Required Skills {required proficiencies, specialized knowledge, technology skills, etc.}

  • Technologically competent with data analysis, Outlook email and calendar, MS Office suite, and database, or equivalent experience.
  • Demonstrated database implementation and ongoing management.
  • Strong verbal and written skills with ability to present information clearly, concisely, and accurately.
  • Outstanding attention to detail and organizational skills.
  • Ability to provide accurate information and high-quality customer service at all times.
  • Demonstrated excellent customer service with all WGU staff, students, and stakeholders.
  • Able to work well within a team, but also be independent enough to work well alone.
  • Able to multi-task and work on multiple projects simultaneously as needed.
  • Adept with the use of technology.
  • Excellent interpersonal, communication and conflict resolution skills.
  • Ability to conduct research and draw valid conclusions.

Preferred Qualifications {bi-lingual, preferred certifications, preferred field of study, etc.}

  • Bachelors Degree
  • Five years’ experience with software and database management.
  • Demonstrated high level of quality implementation and maintenance of all database systems and processes related to Field Experiences.
  • Demonstrated success with project completion.

Special Position Requirements {travel requirements, ability to work nights/weekends, etc.}

  • No travel requirements.
  • Works an average of 40 hours per week with a schedule that may occasionally include some evenings and Saturday hours;
