Primary Responsibilities:

  • Communicate effectively with Transportation Specialists (drivers), inbound teams, members, providers, clinic staff and co-workers
  • Position will be on the phone up to 90% of your day(s)
  • In addition to direct phone duties, other logistics duties include but are not limited to: dispatching, routing, monitoring transportation board
  • Transportation Specialist route assignment and follow-up
  • Efficiently handles non-standard and emergent situations
  • These may include pick-ups, returns, will-calls, discharges, transfers and transport issues
  • Utilization of emails, text messages and other communicative tools to help efficiently route and communicate with other resources throughout the day
  • Outbound customer phone calls in limited situations related to scheduling or other emergent issues
  • Accurately prepare and process data entry, routing paperwork and manifests including but not limited to maintaining transport request in computer systems, activity reports/trip documents, to update driver and dispatch information into dispatch system in real time and in advance
  • Inquiring with responsible parties to fully resolve and complete open orders in our dispatching software, including documenting the resolution in notes
  • Identify and resolve daily service and scheduling issues
  • Inform and escalate service issues to management as appropriate
  • Maintain timely and professional communication with customer contacts on issues affecting service and overall performance
  • Maintains member and company confidentiality
  • Monitor and promote safety in all areas of dispatch
  • Reviews current processes and procedures in order to improve and strengthen the customer experience and increase overall efficiency
  • Adjusts the transport schedule 
  • Performs cross-functional roles and cross-promotes all services offered to members
  • Notify Transportation Specialists of route assignments to ensure on-time movement of members and electronic devices and maximize operation efficiency
  • Regularly monitor Transporter activities/schedules based on time to distance relationships
  • Performs other related duties as assigned

Required Qualifications:

  • High school diploma/GED or equivalent work experience
  • 1+ years of Transportation, dispatching, terminal assistant, customer service or other related experience
  • Solid working knowledge of technology within dispatch systems and Microsoft Office Suite
  • Ability to work during operation Hours Monday - Friday 6am - 8pm and Saturday 8 AM- 4 PM Saturday Rotational (once every 4 weeks)
  • Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements.
