Position Summary:

Constangy, Brooks, Smith & Prophete LLP seeks a Litigation Legal Assistant with 5-7 years of experience minimum to support its Texas offices. This position will be based in Austin, TX, but will support attorneys and paralegals in Austin, San Antonio and Dallas. A hybrid in-office/remote schedule is available for the role, based upon attorney needs.

Duties & Responsibilities:

    Duties require excellent typing, proofreading, and editing of legal documents for grammatical, typographical or spelling errors, and completeness prior to distribution or filing
    Maintain current knowledge on filing and service requirements and procedures in county, state, and federal courts, to timely and effectively file and serve documents with minimal to no oversight.
    Consistently and professionally communicate with clients, opposing counsel, vendors, and firm personnel
    Draft standard pleadings, discovery, correspondence, memoranda and other documents
    Maintain electronic calendars for assigned attorneys with close attention to deadlines
    Routinely review and follow-up on client deadlines and calendar appointments
    Regularly anticipate the needs of assigned attorneys in order to promote timekeeper efficiencies (i.e., draft correspondence, prepare materials for meetings in advance)
    Electronically file documents in the court systems with both state and federal courts
    Coordinate and make necessary arrangements for meetings (i.e., depositions, mediations, interviews, and vendor and facility reservations)
    Review discovery requests and responses, prepare response shells as needed, review client documents for production
    Assist with outgoing communication: formatting, proofing, finalizing
    Organize and maintain case files and other filings – both hardcopy and electronic
    Submit expense reimbursements on behalf of assigned attorneys
    Assist assigned attorneys with completing and tracking CLE compliance, presentations and training programs, other business development activities, and organizing all other non-billable activities
    Manage the conflict check and client intake process for new matters

    Skills & Qualifications:

      Must possess a minimum of 5-7 years of experience as a legal assistant or paralegal in a heavy litigation firm, civil litigation preferred
      Prior experience in a labor & employment-based practice; heavy litigation support required
      Bachelor's degree in Political Science or other relevant fields preferred, but those with a High School Diploma, GED, or equivalent with commensurate years of experience in the field will also be considered
      Possess a high degree of proficiency with filing and e-filing in state and federal courts
      Strong computer proficiency in the use of Microsoft Office Products (Word, Excel, PowerPoint and Outlook), Document Management Systems, Time Entry, e-Filing and database software

        Ability to exercise self-judgement, autonomy, and work independently with minimal supervision and be comfortable supporting attorneys remotely
        Strong aptitude for close attention to detail and a naturally meticulous outlook for their work product
        A problem-solving and critical thinking mentality with a demonstrated initiative to proactively address anticipated needs of their assigned attorneys
        Willingness to abide by the confidentiality requirements of providing legal services
        Commitment to meeting deadlines; timely communicate status of projects and work performed
        Work well with other staff members to help ensure that deadlines are met and that the firm's clients receive excellent legal services
